An embroidery proof is a digital picture of your design that we email you to approve before your hats are stitched. At our shop it’s optional and costs $8.99 per order. It’s worth adding when you’re ordering a lot of hats, when your logo has detail or many colors, or when someone else (a boss, a coach, a bride) has to sign off on the design.
What happens without an embroidery proof
Even without a proof, your design isn’t stitched blind. Our hat designer shows you the placement and thread colors before you order, and a real person checks every design before it’s stitched. If something won’t stitch well, like text that’s too small or a logo that needs simplifying, we contact you first. For simple text hats, a proof usually isn’t needed.
What a digital proof adds
- Your final say. We don’t start stitching until you approve the design.
- A chance to request changes. If something isn’t right, you can ask for a change, and we’ll send a new proof.
- Something to share. Forward it to whoever needs to sign off.
How the proof works
- Check the box for a digital proof in the hat designer before you add to cart. It’s $8.99, once per order.
- After you order, we prepare your design and email you the proof.
- Open the email and choose Approve or Request a change. Clicking a button opens a page where you confirm your choice, so nothing is approved by accident.
- If you request a change, tell us what to adjust. We’ll update the design and send a new proof.
- Once you approve, your hats go to the machine.
Prefer to talk it over? You can always just reply to the proof email.
When an embroidery proof is worth it
- Bigger orders. On 24, 48 or 100 hats, $8.99 for peace of mind is easy math.
- Detailed or multi-color logos. See how your logo looks in thread before it’s stitched.
- Brand-sensitive orders. When colors and placement need to match brand rules.
- Group decisions. When a manager, coach or client has to approve.
When you can skip it
- A single gift hat with a short line of text.
- A reorder of a design you’ve already received.
- A tight deadline, since waiting on approval adds time.
Why approval matters
Every hat is made to order, and once you approve a proof, that design is final. Please check spelling, colors, size and placement carefully before you approve. Our custom order policy explains what happens if something isn’t right.

Does a proof delay my order?
Stitching starts when you approve. Approve quickly and your order stays on track. Orders ship in 5–7 business days.
Is the proof per hat?
No. One proof per order, $8.99.
